Position Overview
The Bill Negotiation Specialist plays a vital role on the frontline of advocacy efforts. This individual will prepare fair price documents, communicate directly with healthcare providers, and manage the day-to-day flow of patient cases through the negotiation process. The Bill Negotiation Specialist ensures cases are handled thoroughly, efficiently, and compassionately, working closely with providers and patients to secure fair resolutions.
Key Responsibilities
Case Preparation & Documentation
- Compile and analyze billing data, provider policies, and price transparency benchmarks.
- Draft fair price documents outlining recommended settlement amounts based on research and industry standards.
- Ensure all supporting materials (bill audits, patient forms, compliance findings, etc) are complete and accurate before submission.
Provider Communication & Negotiation Support
- Submit fair price documents and supporting materials to hospitals, billing departments, and provider offices.
- Serve as the main point of contact for providers—checking status updates, clarifying questions, and facilitating negotiation progress.
- Track all communication with providers, ensuring timely follow-up on open cases.
Cross-Team Collaboration
- Coordinate with the legal department when cases escalate beyond negotiation to public or legal advocacy.
- Partner with the Director of Patient Advocacy to identify trends, challenges, and opportunities for process improvements.
- Work with data/operations staff to ensure accurate tracking of case status, timelines, and outcomes.
Case Management & Follow-Up
- Monitor and manage multiple patient cases simultaneously, ensuring forward momentum.
- Keep clients informed of progress in a professional, empathetic, and respectful manner.
- Ensure that bills progress appropriately through each stage of negotiation until resolution.
Required Qualifications
- Strong organizational skills and attention to detail, with the ability to manage multiple cases simultaneously.
- Excellent written and verbal communication skills, including professional phone and email etiquette.
- Demonstrated ability to work with empathy and respect when serving vulnerable populations.
- Experience in customer service, patient services, healthcare billing, or administrative support.
- Familiarity with medical billing, coding, or price transparency data.
- Experience working with hospitals, insurance companies, or patient advocacy organizations.
- Knowledge of HIPAA compliance, patient rights, and healthcare provider practices.
